Create and send agreements without an estimate

How to create agreement templates that don't need an estimate, and send them on any job — draft, in-progress, or fully measured.

What's New? You can now create agreement templates that don't require an estimate — ideal for contingency agreements, direct-to-repair network paperwork, or any agreement that needs to be signed before an estimate is created.

Overview

You can now add an agreement template and choose to build it without an estimate attached. This is especially useful for restoration leads since you can start the Hover project as a photos-only scan, create and send a signable document (like a contingency agreement), and wait to upgrade the Hover job and receive measurements only once the customer has committed.

How it works

As an admin, you can build a custom agreement that stands on its own — no estimate required.

How to create an agreement template without an estimate

  • Navigate to Estimate Preferences

  • Select the Agreements tab

  • Select Add Template

  • The default is With estimate — select Without estimate instead

  • Select Create, then Edit to start building the document

  • Add as many sections as needed for the structure of your document

  • For each section, choose how you're adding content:

    • Upload a page: Upload a PDF if your content already exists as a file.

    • Text-based: Paste or type text-based content directly into the section.

  • Insert variables: Use variables to auto-fill customer and job details, including:

    • Customer 1 name

    • Customer 1 email

    • Customer 1 phone

    • Customer 2 name

    • Customer 2 email

    • Customer 2 phone

    • Customer address

    • Customer city

    • Customer state

    • Customer zip

    • Signee 1 initials

    • Signee 1 signature

    • Signee 2 initials

    • Signee 2 signature

    • Notes

  • When you're ready, save the template so it will be available to use on any job, even ones you haven't scanned yet.

How to send an agreement without an attached estimate

You can send an agreement without an attached estimate from draft jobs, jobs that are still uploading or processing, or from jobs that have already returned a model and measurements.

  • No matter the status of the job, open the project details page and select Start Agreements.

  • Review and select your agreement type:

    • Your new "without estimate agreement" will show as an active, selectable option, while any agreement built "with an estimate" will show as inactive choices until an estimate exists.

  • Confirm the customer's information is correct.

  • Create the agreement: The agreement populates with the job and customer details you set up in the template.

  • Request a signature: Send the agreement for signature by email, or have the customer sign on screen.

  • Once the agreement is signed and approved, continue with the rest of your workflow.

Do I need to be an admin to create an agreement template without an estimate?

Yes. Template creation happens in Estimate Preferences, which requires admin access.


Do I need to be an admin to send an agreement without an estimate?

No. You only need to be an admin to create and edit these agreement templates. Once they've been created, they're available for non-admins to send on a per-job basis.


Once I add a "without estimate" agreement, what happens to my "with estimate" agreement(s)?

Both agreement types will still be available for a job, however, any agreements that require an estimate will show as inactive until an estimate exists. Meanwhile, any agreements built "without an estimate" will be active and selectable immediately.
